COVID-19 Preparedness Plan

The health and safety of our students is at the core of every decision we make. In preparation for your return to campus, we have developed a plan following the guidelines for the Centers for Disease Control and Prevention, (CDC) and the college’s Preparedness Plan for Campus Reopening.

This plan will address many areas of housing operations and will include policy changes to effectively prevent and prepare for the 2022-2023 academic year. In accordance with the Preparedness Plan for Campus Reopening, this plan is intended to provide an outline of how the Office of Housing Operations and Residential Life will prepare, prevent, and respond to the Coronavirus pandemic.

The Housing Operations and Residential Life staff will work collectively with the college to address issues and concerns as quickly and appropriately as possible, following guidelines of the Centers for Disease Control and Prevention (CDC), federal and state government, and our local public health department. Residents will be notified as this plan is updated, and all updates will be published on the Glen Oaks Coronavirus page as well as the Glen Oaks Housing page.

Move-In

In order to effectively manage social distancing and sanitation, changes have been made to the move-in schedule and process to decrease risk to students, families, and staff.

Move-In Dates
  • The Move-In date has been changed from 1 day to 3 days: Friday, January 8th through Sunday, January 10th.
  • Please refer to your designated move-in time, listed with your suite assignment and suitemate information.
  • If there is a concern with your assigned time, please contact the housing office for an alternate time.
What to Bring/Expect
  • Residents will be limited to 2 volunteers to assist them with moving in.
  • All residents and guests will be required to have their temperature taken before they are permitted to move-in.
  • Pack with the worst case scenario in mind. If the building is closed due to Covid-19, residents may have limited time to pack and/or may be away from campus for an extended period of time.
    • It is recommended that residents only bring necessary belongings to help with personal sanitation and to pack quickly, if needed.
  • We will provide carts, but recommend you bring your own, if available, to decrease contact.
Testing
  • Temperatures will be taken of residents and guests prior to receiving check-in materials.
    • If a temperature registers at 102 degrees, or higher,the resident will not be permitted to move-in until they have quarantined for 14 days and have submitted a clear health certification.
Required Paperwork: Please complete prior to move-in weekend.
  • Residents will complete most check-in materials online.
    • Emergency Contact Form
    • Vehicle Registration Form
  • This information will be submitted via Etrieve.
    • Residents can access the forms via the Etrieve Forms area
      • Residents may sign in using their Viking ID
PPE Requirements
  • Residents, staff, and volunteers must wear PPE during all parts of move-in.
  • Face masks must be worn and may be disposable or fabric. The housing office has a limited supply of disposable masks available for residents and guests during move-in.
    • Please do not take more masks than are necessary so we may continue to maintain enough inventory to protect all employees, students, and visitors.
    • Masks will be placed in each resident’s room prior to arrival. These are reusable masks gifted to residents for use.
  • Students with a documented disability that inhibits them from wearing a face mask must meet with the Disability Support Services Office to discuss possible alternatives or accommodations if warranted. Please contact the Disability Support Services Coordinator at 269-294-4241 or via email to schedule an appointment. Documentation from a medical professional will be required.
  • Refusal to wear a face mask will result in your removal from the building or campus and/or disciplinary sanctions.
  • Face shields may be worn in addition to masks. Please know that face shields alone, though they protect the wearer, do not protect others.
Social Distancing
  • Please follow the directional signs around the check-in station and throughout the building.
  • Maintain a 6 foot distance between staff and other residents when possible.
  • Notify a college staff member if you notice a dispenser is empty.
  • Please note: thoroughly washing your hands with soap and water for at least 20 seconds is still THE most effective way to prevent the spread of germs.
  • Eliminate physical contact with others, such as handshakes, hugs, or touching.
  • To the extent feasible, avoid touching surfaces that are frequently touched by others (handrails, counter tops, etc.).
  • Avoid coming in close contact with anyone who appears to be sick or who is coughing or sneezing.

How We Are Preparing

We are taking many precautions and implementing many procedures to prepare.

Occupancy Management
Apartments are being held offline as quarantine apartments, if needed.
Isolation and Quarantine
  • Procedures have been developed in conjunction with the Student Services Office and local health professionals so that when a student becomes ill,there is already a plan in place.
  • Suites are being held offline to utilize as quarantine rooms if needed.
Team Member Education
Has been adjusted to include safety measures and how to address residents’ concerns related to the new Coronavirus.

Ongoing Safety Practices

We are implementing the following safety procedures and practices to minimize risk and increase social distancing and sanitation practices.

Visitor Regulations

  • Visitors will not be permitted during this time. This includes residents visiting other apartments in the building.
  • Updates will be sent out as available regarding this restriction.

PPE Requirement

  • Staff and residents must wear PPE at all times when in common areas of the buildings, i.e. hallways and lobbies.
  • Residents will have masks placed in their rooms prior to move-in to ensure all residents have a reusable mask.
  • Judicial action may be held if a student refuses or is repeatedly found to not be following safety guidelines in the community.

Social Distancing Guidelines

  • Residents within one apartment will be considered a “family unit”. Residents may determine social guidelines within the apartment and will be responsible for cleaning and sanitation.
  • Residents who do not live in the same apartment will be required to maintain a 6 ft. distance from each other and must wear masks when outside of their apartment.
  • Residents may not be in any apartment other than their assigned unit
  • Residents must maintain a 6 ft. distance between other residents in common areas and hallways.
    • Furniture will be removed to promote social distancing.

Sanitation

  • A bottle of high performance sanitizer will be provided for each suite. The sanitizer will have directions for use and obtaining refills.
  • Cleaning procedures have been adapted and increased to ensure high-touch surfaces are thoroughly disinfected on a regular basis and deep disinfection and cleaning is done in areas where infected residents lived or visited.
  • Sanitizer stations can be found on every floor, near each common area.
  • Hygiene reminders will be posted throughout the building and in apartments.
  • A bottle of disinfectant spray/cleaner will be placed in each apartment for use by residents.
    • Students may have the refillable bottles refilled at the student housing office.

Office Operations

  • We will have a no-contact option for mailing and receiving packages.
    • Please note: residents are responsible for the cost of shipping for outgoing mail. This must be taken care of prior to dropping off mail.
  • Appointments will be required for meetings with housing office staff.
  • The front desk phone can be used to call into the office for conversations not requiring confidentiality.

When Not to Report to Campus:

For the protection of the entire campus community, DO NOT enter the main campus or attend on-campus classes if you are ill or have any of the following symptoms:
  • Cough
  • Shortness of breath or difficulty breathing
  • Fever or chills
  • Muscle or body aches
  • Headache
  • Sore throat
  • New loss of taste or smell
  • Nausea or vomiting
  • Diarrhea

If you are experiencing any of these symptoms and/or have been advised to quarantine, contact all of your instructors immediately to make arrangements for any coursework you may miss.

STUDENTS WHO TEST POSITIVE FOR COVID-19:
  • Must remain off campus for ten (10) days from onset of symptoms or date of positive test if asymptomatic AND;
  • Must have no fever for at least 24 hours without the use of fever reducing medicine AND;
  • Any respiratory symptoms (cough and shortness of breath) have been improved for at least three (3) days.
  • Submit the Student COVID-19 Reporting Form located here or on the Coronavirus page at glenoaks.edu. The student’s name and contact information will be shared with the local health department for contact tracing purposes. The health department or the college will contact students to identify others with whom students have had close contact (less than 6 feet apart for 15+ minutes). The identified parties will be notified only that they have been in contact with someone who tested positive for COVID-19; they will NOT be given the name of the student.If an employee of the college tests positive for COVID-19, the same protocol will be followed, and students who have been in close contact (less than 6 feet apart for 15+ minutes) with the employee will be notified to quarantine for 14 days from last exposure and monitor for symptoms.
STUDENTS WHO HAVE HAD CLOSE CONTACT (less than 6 feet apart for 15+ minutes) WITH A PERSON WHO TESTED POSITIVE FOR COVID-19:
  • Quarantine for 10 days from last date of exposure to the known positive. If no symptoms develop, you may end quarantine and continue to monitor for symptoms until Day 14. OR
    • If symptoms develop, follow the protocol(s) below for students with symptoms.
  • Quarantine for 7 days from last exposure to the known positive and provide a negative test result (Test must occur on day 5 or later). Continue to monitor for symptoms through Day 14.
    • If symptoms develop, follow the protocol(s) below for students with symptoms
STUDENTS WITH ONE OR MORE PRINCIPAL SYMPTOMS (cough, shortness of breath, loss of taste or smell):
  • At least ten (10) calendar days have passed since the symptoms began AND;
  • Must have no fever for at least 24 hours without the use of fever reducing medicine during that time AND;
  • Any respiratory symptoms (cough and shortness of breath) have been improved for at least three (3) days

    *Students may return to campus before the end of the 10-day isolation period if symptoms have improved for three days AND the student can provide physician documentation attributing symptoms to a non-COVID physical or medical condition. A negative COVID test alone will not permit return when a student has principal symptoms. Students unable to provide documentation, or who do not wish to provide documentation, must remain off campus for 10 days. STUDENTS WITH MULTIPLE NON-PRINCIPAL SYMPTOMS (Headache, diarrhea, nausea, vomiting, fever, sore throat, muscle aches, fatigue, runny nose, or congestion):
  • At least ten (10) calendar days have passed since the symptoms began AND;
  • Must have no fever for at least 24 hours without the use of fever reducing medicine during that time AND;
  • Any symptoms have improved for at least three (3) days

    *Students may return to campus before the end of the 10-day isolation period if they have tested negative for COVID-19 during that period and/or the student can provide physician documentation attributing symptoms to a non-COVID physical or medical condition. Students unable to provide documentation, or who do not wish to provide documentation, must remain off campus for 10 days. Please provide documentation to the Vice President of Student Services at thowden@glenoaks.edu

STUDENTS WITH ONE OF THE FOLLOWING SYMPTOMS (NOT EXPLAINED BY A KNOWN MEDICAL OR PHYSICAL CONDITION):
  • Headache, diarrhea, nausea, sore throat, vomiting, muscle aches, fatigue, runny nose, or congestion – may return 24 hours after symptoms have improved and if no other symptoms develop.
  • Fever – must be fever free for 24 hours without the use of fever reducing medication.

Addendums to the 2020-2021 Devier Student Suites Housing Agreement

MOVE-IN DATES
Move-in dates have been changed to accommodate social distance and sanitation needs. Each resident will be provided a date and time that has been strategically determined to create distance between residents and guests while navigating the building. Move-in days and times will be scheduled between, Friday, January 8th through Sunday, January 10th, 9 am to 5 pm each day. Individual accommodations can be made through the housing office.
TERMINATION DUE TO HEALTH CRISIS
In the event that Devier Student Suites is required to reduce or eliminate occupancy due to the current COVID pandemic or other health emergency, Glen Oaks Community College has the right to terminate this lease. If resident has taken occupancy, the resident will be financially responsible, on a prorated basis, for rent from the start of their lease until the date at which they move out and return their key.
REQUIRED REPORTING AND MANDATING
Residents must self-report if they experience symptoms or become aware that they have been potentially exposed to the virus. This will help to ensure the resident is appropriately quarantined and is receiving support. This will also assist in decreasing the spread and assisting in contact tracing.

Addendums will be sent via Docusign to all residents and guarantors.
